Project Administrator

Job Introduction

We seek a detail-oriented and organised individual to join our PMO team as a Project Administrator.

As the Project Administrator you will provide administrative support to project teams with tasks such as system administration and updating project plans.

Role Responsibility

  • Assist project teams with administrative tasks such as;
    1. Maintaining data in our enterprise resource planning systems (ERP).
    2. Data entry and support for our project planning function.
    3. Maintaining data and records in our project management knowledge base. 
  • Schedule meetings and maintain project calendars.
  • Support project teams with internal and external auditing requirements.
  • Prepare project documentation, including meeting agendas, minutes, reports, and presentations.
  • Communicate with internal and external stakeholders to gather information, coordinate activities, and facilitate project-related communication.
  • Ad-hoc queries and tasks, often involving excel.

The Ideal Candidate

Qualifications

  • Fundamentals/foundation-level Project Management certification, such as APM or Prince2 (preferred)

Skills 

  • Proficiency in project management tools and software (e.g., Microsoft Project, Jira, Trello).
  • An intermediate to advanced competency with MS Excel.
  • Attention to detail and accuracy in managing large volumes of documentation.
  • Strong organisational, analytical, and problem-solving skills.
  • Excellent communication and interpersonal skills, with the ability to work effectively in a remote team environment.
  • The ability to foster a positive work environment that promotes motivation, teamwork, and high morale.
  • Ability to manage multiple tasks and priorities in a fast-paced environment.

Experience

  • Proven experience (5 years) in project administration and/or document control roles.
  • Experience working with ERP software, preferably SAGE X3 or Microsoft Business Central.
